• Event conceptualization and design

  • Budget creation and management (incl. post event budget reconciliation)

  • Sourcing venues

  • Vendor sourcing including but not limited to: AV, catering, rentals, photographer, videographer, décor, event design and signage, printing, transportation, event staffing, etc. 

  • Contract negotiation(s)

  • Obtaining required COIs from vendors

  • Invoice recording and/or processing

  • Weekly status calls with client to monitor progress of event planning, etc. 

  • Participation on all other planning calls as needed

  • Menu planning

  • Collaborate with company stakeholders (as needed)

  • Work closely with sponsor(s) to ensure proper execution of deliverables are made

  • Ensuring brand awareness and opportunities

  • Schedule recurring meetings to track event status

  • Build out floor plan

  • Guest list management

  • Create and maintain event timelines (deliverable timelines incl.)

  • Determine front of house logistics (registration, etc.)

  • Distributing speaker briefing documents

  • Coordinate any speaker/talent logistics onsite

  • Management of hotel room block

  • Train and manage event staff and/or volunteers

  • Main point of contact for clients, venues, vendors throughout the event

  • Day-of management of all event staff and vendors 

  • Complete event set up, execution and breakdown 

  • Post event wrap up
